Asset register

Import your asset register from Excel

Last updated Oct 29, 2026

What you can import

  • Assets and opening balances: the register itself, with opening accumulated depreciation per book at the cut-over date, income-tax block openings and control totals.
  • Masters: branches, locations, departments, cost centres, categories, vendors and employees. A masters import only creates new codes; it does not change existing ones.
  • Asset book parameters and Asset usage, for finance teams.

Import masters first: an asset row that refers to a missing master cannot be imported. You need the import permission; committing some kinds needs extra rights.

Prepare the file

  1. Download the template from the import screen (or the register template on this site).
  2. In the templates, row 1 holds the column names. Required columns are marked; every asset needs a name, category, purchase date, cost and location.
  3. Dates are read day first: 03/04/2024 is 3 April 2024. Amounts may use lakh / crore commas.
  4. Excel (.xlsx), CSV and JSON files are accepted. Old .xls files are not.

Web edition

  1. Open Assets › Bulk Import and stay on New import.
  2. What to import. Choose the kind and download its template if you need one.
  3. Upload file. Drop the file (Excel .xlsx / .xlsm, CSV or JSON, up to 20 MB) and click Upload and check. This is a dry run: nothing reaches the register yet.
  4. Map columns. Match each column of your file to a field, or choose Do not import. Save this mapping as a name, and it is applied automatically next time the headers match.
  5. Validation report. See the rows that are ready, with warnings and with errors, and the problems by type. Click Download error workbook to get each problem against its row.
  6. Commit. Rows with errors are listed as Rows not imported. If there are warnings, tick that you reviewed them. Enter a reason (kept in the audit trail) and click Import n rows. Large files continue in the background and you are notified.

Every import is listed under Import history and in Administration › Import Log. If you change your mind before committing, use Discard import.

Desktop edition

  1. Open File › Import… (Ctrl+I).
  2. Choose Assets and opening balances or Masters, then your file.
  3. Map the columns. Saved mappings are applied when the headers match.
  4. Validate (dry run). Errors must be fixed; warnings can be accepted. Use Download error report, correct your file and upload it again.
  5. Commit. On the desktop the import is all-or-nothing: every row is saved or none is.

Opening balances at cut-over

Choose one cut-over date per book, normally the end of your last audited year and always a month end.

  • Put the Companies Act accumulated depreciation and NBV at the cut-over date in the ca_ columns, and the income-tax figures in the it_ columns.
  • Enter each income-tax block's closing WDV from Form 3CD clause 18 on the IT_Block_Opening sheet. Block figures are the ones used for tax.
  • Enter the audited gross block, accumulated depreciation and net block per category on Control_Totals. The preview flags any difference of more than ₹1.
Accumulated depreciation means the closing accumulated figure of the cut-over year. Never map "Opening WDV" or "Depreciation for the year" to it.

A committed import cannot be undone, so check the dry run carefully. Importing the same file twice is flagged.
