Back up and restore the desktop edition

Last updated Oct 29, 2026

How backups work

On the desktop edition your data lives on the server PC (or the single computer). Backups run automatically on a schedule to the backup folders you choose, and they are always encrypted. Open Administration › Backup & Restore, or use Server Manager on the server PC.

Set up

  1. Targets. Add at least one backup folder that is not on the server PC, such as a network share or NAS (for example \\NAS\backups\FixedAsset). For each target, set how many daily, weekly and monthly backups to keep, the minimum free space, and whether to include attached documents.
  2. Encryption key. Set up a passphrase, tick that you have stored it safely, and use Print recovery sheet. Without the passphrase a backup cannot be restored on another computer.
  3. Rotate key creates a new key for future backups; older backups still open.

Check backups

  1. Use Back up now whenever you need an extra backup, for example before an update.
  2. The tiles show the last backup, the last verified backup, the next scheduled backup and whether an off-machine target is set. Administrators see a warning in the status bar if backups are missing or old.
  3. Verify checks a backup file.
  4. Full restore test proves that a backup can actually be restored, without touching live data.

Check the Backup & Restore screen weekly and run a full restore test every month.

Restore

Only an administrator can restore.

  1. Click Restore…, or Restore from file… for a backup file.
  2. Choose the backup.
  3. Enter the passphrase and click Inspect.
  4. Type RESTORE followed by your company code exactly, and re-enter your own password.

A restore can be rolled back within 7 days. After a restore on another PC, re-enter any integration passwords.

Tips

  • Do not keep the only backup on the server PC.
  • Store the passphrase and the printed recovery sheet away from the server.
  • Backups and restores are listed in the Backup and Restore History report.
